SUMMARY:
Come join our team at Management Business Solutions. We are a group of energetic and entrepreneurial folks working in an open, collaborative space in downtown Grand Rapids. This role is challenging and interesting - and very valuable, supporting multiple recruiters and account managers. This position requires 20-22 hours per week. Work schedule would be Monday-Thursday with some flexibility on hours per day.
As the Recruiting Assistant, you will perform routine and non-routine office functions in an ethical manner consistent with Management Business Solution’s mission, vision, and cultural values. The ideal candidate must understand appropriate paperwork and procedures within the company, be able to prioritize, work independently, research and resolve candidate/client inquiries, and determine the most efficient method to resolve problems while complying with corporate and regulatory procedures.
MAIN RESPONSIBILITIES:
Work with Recruiters to help identify top talent to market to our clients
Pre-screens candidates for open job orders
Keep detailed notes of interviews to report to recruitment manager
Update candidates profile on a daily basis in ATS
Post and advertise positions on social media websites
Attend career fairs when manager is not able to attend
OTHER DUTIES:
Perform administrative work of a confidential nature in support of recruiters and account managers
Answer phones on a multi-line system to include directing calls, transferring voicemails, leaving messages with appropriate information, and other tasks as necessary
Scheduling and make arrangements for meetings or other related duties for internal and external contacts
Generate and maintain documents on a computer using Microsoft Office software.
Provide excellent customer service, anticipating and exceeding the needs of all customers
QUALIFICATIONS:
Excellent verbal communication skills and the ability to interact with a diverse population including but not limited to: candidates, executives, clients, and internal subject matter experts
Be a self-starter, one that is strongly motivated and shows initiative
Ability to quickly change direction when priorities are rearranged
Ability to take the big picture into account
Typing Skills - at least 35 WPM
Knowledge of general office machines and telephone system
Critical thinking and problem solving abilities
High degree of discretion in dealing with confidential information
Demonstrated ability to work both independently and with a team
Strong interpersonal skills - ability to effectively interact with all levels of staff and external contacts and handle different personalities
Must be proficient with Microsoft Office 2010 (Outlook, Excel, Word required PowerPoint preferred)
PREFERRED QUALIFICATIONS:
Associate’s Degree in Human Resources
Experience working with an applicant tracking system
