*Job Description: Under the direct supervision of the CFO this position provides administrative and secretarial support for the CFO and Admin/Finance management team. The Executive Assistant to the CFO has direct responsibility for answering routine and non-routine written and verbal correspondence on behalf of the CFO. In addition, this position maintains a high level of confidentiality and is responsible for securing sensitive information at all times
*Qualifications: This position includes but is not limited to the following responsibilities:
1. Schedules and organizes activities such as meetings, travel, conferences and department activities for CFO and other department management.
2. Establishes, develops, maintains and updates filing system for the CFO. Retrieves information from files when needed. Establishes, develops, maintains and updates library of trade journals and magazines.
3. Organizes and prioritizes large volumes of information and calls.
4. Opens sorts and distributes mail for the CFO. Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
5. Answers the phone for the CFO. Takes messages or fields/answers all routine and non-routine questions. Works in cooperation with other Administrative Assistants to cover phones.
6. Act as a liaison with other departments and outside agencies, including high-level staff such as all C level employees, Presidents, Senior Vice Presidents and Directors. Handles confidential and non-routine information and explains policies when necessary.
7. Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
8. Maintain a positive work atmosphere that embodies Liberator’s philosophy- Professional excellence, teamwork and integrity.
9. Maintain high attention to detail throughout daily tasks and projects
10. Assist other departments and team members when required or requested to help meet business needs.
11. Maintains a high level of confidentiality and discretion completing tasks with a high level of situational judgment
12. Perform Other duties and tasks as assigned
Requirements:
1. Associates Degree or Equivalent combination of Education and Experience required
2. Excellent time management skills
3. Moderate to expert computer and communication skills both verbal and written
4. Experience with MS Suite (MS Word and MS Excel) preferred
5. Ability to evaluate, track, and analyze training effectiveness
