POSITION: Development Officer, Grants and Administration
STATUS: Full-time, salaried, exempt
REPORTS TO: Director of Development
General position description:
The Development Officer for Foundation Relations and Research is responsible for stewarding key relationships, coordinating the foundation giving program, and coordinating the grant writing and research process (40%), administration (40%), and will collaborate with the development team on other projects throughout the year, providing writing and editing support to the organization for fundraising, stewardship, and marketing materials (20%).
This position requires the ability to maintain strict confidentially. This position also requires computer and writing work that will require sitting at a desk for extended periods and requires standing for periods of time in excess of one hour. Candidates must have reliable transportation for travel within Planned Parenthood of the St. Louis Region and Southwest Missouri territory.
Some travel is required to events, meetings, and out of town conferences. Some evening and weekend hours will be required. A personal commitment to the Planned Parenthood mission is important.
Specific position responsibilities:
1. Foundation and Grant Writing (40%)
a. Work with staff from all departments to develop an in-depth understanding of Planned Parenthood’s programs, funding needs, and future goals.
b. Coordinate all aspects of Planned Parenthood of the St. Louis Region and Southwest Missouri foundation and corporate giving programs.
c. Manage the grants calendar; monitor submission deadlines and reporting requirements.
d. Research, identify, and cultivate new grant prospects for the organization; monitor for appropriate federal, private, and corporate grant opportunities.
e. Evaluate grant opportunities based on funding potential and fit with the organization.
f. Work with staff to identify needs and matching them to funding opportunities
g. Prepare all grant proposals and reports, meeting all deadlines.
h. Create and execute individual stewardship plans for all granters, including preparation and submission of all required reporting.
i. Represents Planned Parenthood in the community on matters related to grants funding
2. Grants administration (40%)
a. Work with program and Finance staff to create contracts and budgets, preparing and verifying the accuracy and detail of final application packages, budget, and related information.
b. Track budget and grant through submission, approval processes, project completion, and reporting
c. Monitor grant activities and financial data on a monthly basis, ensuring compliance with project plan and budget projections
d. Serve as liaison between Finance Department, Development Department, and senior program staff.
e. Monitor financial reports generated by the Finance Department for compliance with the budget
f. Monitor program reports generated by the program staff for compliance with the budget
g. Maintain grant files, advising staff on program or budget variations
h. Stay current with the changes in the Federal Regulations governing grant management and educates staff on such changes.
3. Collaboration (20%)
a. Work with the Development Department staff to write copy for letters, collateral material, reports, and other items as necessary.
b. Assist the lead staff on fundraising events throughout the year.
c. Provide editing support to the Communications Departments on marketing materials.
Shared Development Officer Responsibilities:
1. Participate in collaborative fundraising efforts for other parts of the organization: Annual Fund, Major Gifts, Reproductive Health Services (RHS), ADVOCATES (c4) and Votes (PAC),
2. Participate in planning yearly calendar of cultivation, solicitation, stewardship and recognition activities for donors.
3. Segment donor list, work as a team to determine the content of solicitation letters, write copy, and design overall mailing packages. Review and approve all press proofs.
General Department Responsibilities:
• Telephone communications: Speak with donors by telephone when they call with questions or concerns in a professional and courteous manner. Bring to the attention of the head of Development all unusual or problematic discussions with a donor, prospect, volunteer, Board member or any other supporter/client.
• Other duties as assigned, including general support of the activities of the Development Department.
Risk Management and Quality Assurance:
Establishes and complies with Planned Parenthood of the St. Louis Region and Southwest Missouri organizational policies that:
• Ensure the provision of the highest quality and most professional service deliver to all Planned Parenthood clients;
• Protect Planned Parenthood assets from liability;
• Ensure the physical safety of Planned Parenthood clients, staff and volunteers;
• Protects confidentiality of all Planned Parenthood clients, donors, Board and all areas of operation;
• Follow HIPAA privacy and security guidelines.
Qualifications:
• Superior writing skills, a keen understanding of logic and grant writing, and a willingness and desire to learn
• Strong organizational skills and attention to detail
• The ability to juggle many and varied priorities
• A working knowledge of database capacity and usage
• Excellent interpersonal skills, including assertive communication, generous provision of assistance to fellow team members, readiness to ask for assistance and support, and ability to keep focused on the overall goals and mission
• The ability to work closely and effectively with senior management, volunteers, including the Board of Directors.
• Proficient in Microsoft Word and Excel
Requirements:
• A bachelor’s degree or an equivalent of 3 to 5 years’ experience in grant writing
• Grant writing or technical writing experience
Preferred Requirements:
• Grants.gov experience
• A Master’s degree in Communication Studies, Social Work, English, Non-Profit Management, or a related field
