Purpose
Responsible for handling customary administrative/clerical responsibilities; providing day-to-day executive support, along with team coordination, maintaining sales documents, office management tasks and event planning and coordinating.

Ideal candidate is a sharp, poised individual; focused and detail oriented with excellent clerical and computer skills; a passion for customer service, is extremely efficient and patient, highly organized, discreet and comfortable multi-tasking and juggling a number of priorities.
Requirements
Minimum 2 years as a professional Executive Assistant for an Owner, President or VP
Maturity and ability to help handle a growing business organization
Able to handle confidential information with trust, diplomacy, and tact
Pleasant phone voice and demeanor
Professional appearance
Must type 55+ wpm
Above average proficiency using Microsoft Office: Word, Excel, Outlook
Able to compose and maintain Excel spreadsheets
Possess good verbal and written communication skills
Able to multi-task and prioritize while working in a fast paced environment
Can shift easily between different tasks and remain flexible
Well-organized; completes tasks on time with a great attention to detail
Excellent follow through skills
Able to take direction well
Self-motivated with solid judgment and initiative
Can work independently with little or no supervision
Customer focused, team oriented
Project management experience a PLUS!
Job Duties: responsibilities include, but are not limited to:
Answers calls, routes calls, takes messages and coordinates teleconferences for President & VP’s
Maintains MS Outlook calendar; and schedules appointments and coordinates meetings for executives
Prioritizes and assists with executive to-do lists
Partners with other lead personnel to obtain information and solve problems
Assists with special projects as they arise
Understands priorities and helps manage, and follow-through on projects to bring them to completion
Makes travel arrangements and itineraries
Helps set-up training sessions and events
Assists with catering orders and the set-up and tear-down of office events
Edits and formats correspondence, spreadsheets, and presentations
Maintains Excel spreadsheets
Files and maintains office files
Assists with the purchasing of office supplies
Represents the organization with professionalism as a key member of Team
Contributes to Team effort by accomplishing assigned tasks in a timely manner
Provides backup coverage for other administrative team members when needed
Performs other administrative/clerical office duties as assigned
