150407 Warranty Parts Processor

Our customer located in Auburn Hills, MI is seeking a Warranty Parts Processor on a long-term contractual basis.

Role Summary
• Responsible for the tasks associated with review and processing of warranty part claims. The tasks include receiving, handling, processing, storing, analysis, tracking, reporting, and disposal of all warranty parts.
• Interacts with dealers when discrepancies are noticed while inspecting and processing of warranty parts and proactively takes corrective actions to provide a positive experience for the dealers. This role ensures that claims charge-backed if necessary after the inspection of warranty parts.
• Handles and stores the warranty part after pre-analysis for various Warranty Parts Return Center (WPRC) customers that include Product Support, Quality Engineers, Suppliers, Factory, and Emissions Laboratory.
• Ensures proper disposal scrap of warranty parts on completion of inspection or as directed by the supervisor.
• Follows the regulations related to the handling of warranty parts classified as HAZMAT and ensures hazardous waste disposal regulations are followed.

Role Responsibilities

Receiving, Unpacking and Confirming Receipt of Warranty Parts (20%)
o Ensures that the parts from logistics couriers are received in a timely manner by scanning the valid tracking information and applicable barcode(s) from the shipping label.
o Confirms that the ID from the bar code and shipping label bar code matches. Similarly ensures that the parts in the boxes match the bar code and proactively work with dealers to resolve any short-coming or discrepancies.
o Ensures that the parts are genuine, match the part numbers on the claim, are corresponding to production date of the vehicle and review of any other submitted paperwork or repair information.
o Ensures that warranty parts, tracking numbers, and logistics provider is entered in internal parts tracking database.
o Ensures that warranty parts for quality improvements are handled on priority the same day and handed over to the appropriate engineer after part processing.

Warranty Parts Processing (40%)
o Ensures the accuracy of part numbers on a Warranty Claim by utilizing electronic parts catalog and the acquired product knowledge to ensure that correct claim payment is appropriate. Also check if a remanufactured part was available and verify for component replacement versus complete assembly replacement to decide payment or non-payment.
o Ensures the verification of the technical information in any additional diagnostic sheets when applicable including Diagnostic Trouble Codes (DTCs) on the diagnostic worksheets, Guided Fault Finding diagnosis log, and Function Test(s) in relation to the justification of the warranty part replacement.
o Ensures detailed claim tracking through internal parts tracking database with clear and accurate findings and reasons for adjustment with digital pictures of denied claims to accurately depict the reason for future appeal or protest by dealer.
o In cases where non-compliant repairs are identified, ensures claims are cancelled in a timely manner and all supporting documentation and/or reasoning is recorded in internal parts tracking database.
o Identify warranty parts which can be reviewed to monitor the warranty claims and dealer performance.
o Ensures that the vendor code on the claim matches the vendor code on the warranty part. When necessary, provide the part number, vendor code and pictures for update.

Warranty Parts Retention, Disposition, and Logistics (20%)
o Ensures that the non-complaint warranty parts are stored properly in the retention area while waiting for the dealer to appeal or accept the decision on claim payment, and that the dealers are contacted for additional information to expedite claim processing.
o Ensures that dealer appeals are monitored and retained warranty parts are reviewed again with the new or additional information in timely manner.
o Ensures proper scrapping and disposition of warranty parts after review by conforming to the hazardous material regulatory requirements and recycling requirements.

Dealer Support and Parts Follow-up through Telephone & E-mail (10%)
o Providing adequate support to dealers, field staff and corporate employees on claims and parts processing.
o Provide timely dealer support when appealing warranty decisions, submission & resubmission requirements, warranty coverage, and warranty policy related to parts replacement under warranty.
o Provides special part request to dealer by phone in a timely manner with all supporting documentation and shipping labels provided to the dealer using email.
o Ensures parts requested have been received in the time specified and in the event parts are not received follow up with dealers to obtain the part.
o Assist in the training of new hires.

Other Assigned Duties (10%)
o Any ad-hoc reports as requested by Warranty Parts Processing Supervisor.
o Any other tasks and duties like monitoring FedEx Truck, Vendor Recovery process etc.
o Participate in short term project assignment to improve the efficiency in the work environment.
o Complete the minimum number of self-study and training programs.
o Comply with the Hi-Lo, Compacting bailer and HAZMAT certifications.

Required Skills
• Working knowledge of Microsoft Office Software; Word, Excel, and PowerPoint programs.
• Ability to make difficult warranty eligibility related decisions using Corporate Policies and Procedures as a guide.
• Ability to interact and communicate with dealers on phone and through e-mails.

Desired Skills
• Automotive warranty administration experience.
• Knowledge of computer applications related to dealership automotive business.
• HAZMAT Certification CFR 49, IATA, and safety awareness of hazardous materials.
• Experience in automotive Parts or Service departments.

Required Education
• High School Diploma or vocational, mechanical training.
• Technical knowledge of automotive parts and terminology or equivalent experience.
• Basic computer skills.

Desired Education
• Master ASE Technician Certification with L1 certification preferred.
• Associate’s Degree or some college with equivalent related experience preferred.
• Technical Certification in automotive repair process or equivalent experience preferred.

Years of Experience
• 1 to 5 years in automotive repair facility, parts department.
• 1 to 2 years with automotive related computer applications.
