Purchasing Assistant
Location: Stuart, FL
Description:
The Purchasing Assistant will be responsible for various administrative responsibilities in support of the Purchasing Department with a direct reporting relationship to the Purchasing Manager. The purchasing assistant position requires the ability to multi-task, meet deadlines, make good decisions, and portray a professional and positive attitude. We are seeking an organized, detail orientated, self-motivated team player for the purchasing department
This position includes but is not limited to the following responsibilities:
1. Assist in the preparation and execution of purchase orders as well as facilitates follow up as needed to expedite delivery and shipping on all required patient supplies
2. Facilitates creation of purchasing/vendor files making sure that all required documentation is received and accurate
3. Assists in data entry and updates to the backorder spreadsheet while facilitating communication to Sales and Customer Service of any potential issues relating to the delivery of patient orders
4. Assists in external communications for purchase orders with vendors, supporting resolution of purchase issues with the Purchasing Manager in addition to coordination with Receiving & Accounts Payable departments for proper processing
5. Research availability, quality, and price of both stocked items, and potential alternative products and/or vendors
6. Assist in the analysis and reconciliation of inventory variances while effectively communicating and documenting to the appropriate personnel
7. Assist with physical inventory and cycle counts as necessary
8. Other duties and tasks as assigned
Requirements:
1. High school Diploma or GED, College degree in a similar field preferred
2. 1-3 years experience in purchasing or procurement and/or accounts payable/receivable
3. Proficient in the use of Microsoft Word, Excel and Outlook as well as prior knowledge of Warehouse Management Systems
4. Proficient oral & written communication skills coupled with tactful business negotiation skills
5. Energetic, positive, proactive attitude aimed at providing a top notch internal and external customer service experience
6. Strong initiative and ability to work independently and collaboratively
7. Excellent organization skills with the ability to manage multiple tasks simultaneously. Must prioritize and plan work activities to use time in most efficient manner
8. Desire and ability to learn new tasks and adapt to a changing business environment
