Provides support to customers, management, Technical Service Specialists and Facility Customer Service Specialists. Processes orders, prepares correspondence, and fulfills customer needs to ensure customer satisfaction. Expedites the steady and courteous flow of internal and external communications, such as incoming/outgoing telephone and email messages. Coordinates office services, such as data entry, clerical work, records control, creating forms, and preparing reports, etc. Has extensive knowledge of commonly-used concepts, practices and procedures. Relies on instructions and pre-established guidelines to perform the functions of the job. Works under immediate supervision.
ESSENTIAL DUTIES AND RESPONSIBILITIES
• Works with Sales representatives and Technical Service specialists on pricing, scheduling and transportation issues.
• Assist Facility CS Specialists with day-to-day issues and tasks.
• May assist in Facility CS Specialists job training.
• Manage additional projects and assignments as requested by the Customer Service Manager.
• May solicit the use of 3rd party services for customers by working with Waste Approvals, Operations and Material Handlers.
• Research and resolve customer concerns and questions.
• Interface with customers and operations to make sure job/projects are completed as requested.
• Communicates with customers by phone, email or in person regarding profiles to attain clear, legible, comprehensive and accurate information to ensure accurate and timely waste profile approval.
• Prepares and transmits reports and waste shipment summaries.
• Assists and provides support to sales representatives and with their customers.
• May maintain customer profiles and contract filing system.
• Writes correspondence related to conversations with customers.
• Coordinates completion of profile forms, contract forms, collects deposits, prepares change of address records, and issues discontinuance orders.
• Works with management and Accounting on invoicing and payment status.
• Addresses envelopes for renewal and approval letters, and other daily correspondence. Stuffs envelopes by hand or with envelope stuffing machine. Prepares packages for pickup and delivery via U.S. Postal and other couriers.
• May sends manifests via mail, scan, or email on a daily and/or monthly basis. Sends, receives and distributes faxes.
• To perform the essential functions of the job, the employee is required to operate all office related equipment as needed: Telephone, computer, copier, fax, filing systems, scanner, printer. • Education and/or Experience
Bachelor’s degree sales, marketing, environmental or related field. Requires 3-5 years applicable experience in the environmental field or in a related area. Facility/Operation based experience preferred. Knowledge of TSCA, RCRA, HAZMAT, and OSHA regulations.
• Required Training
Initial training will consist of 24 hours of HAZWOPER training and 8 hours field experience, in accordance with 29 CFR 1910.120; additional departmental training as needed. Annual training will consist of 8 hours of HAZWOPER Refresher training, in accordance with 29 CFR 1910.120; review of initial training and additional departmental training as needed.
