Executive Assistant I at HealthCare in San Francisco, CA

Location: Candidate must reside in Northern California and be able to work in the Rancho Cordova, Walnut Creek, or San Francisco offices.

Reporting to an executive, responsible for performing advanced, diversified and confidential secretarial and administrative duties requiring broad and comprehensive experience, skills and knowledge of the organization and its policies and practices. Primary duties may include, but are not limited to:

•Schedules and maintains calendar for executive leader.
•Writes and routes confidential correspondence.
•Screens, handles or distributes incoming phone calls and complaints.
•Maintains confidential correspondence and general files.
•Orders supplies.
•Prepares and tracks budgets.
•Coordinates travel plans.
•Submits expense reports.
•Compiles and distributes meeting minutes.
•Compiles information for reports, documents and proposals.
•Collates and assembles materials, makes arrangements for meetings/presentations.
•Organizes chart up-dates.
•Prepares forms and reviews documentation for conformance with internal policies and procedures.
•Utilizes various software packages such as spreadsheet, word processing, data base and graphics to produce high quality reports, presentations and documents. (MS Office to include PowerPoint) ( Visio preferred )
•Researches, verifies and prepares reports.
•Creates and maintains databases.

Qualifications

Requires a HS diploma,

5+ years administrative experience, or any combination of education and experience, which would provide an equivalent background.

Experience with executive level support for a Senior level manager or above is required.

Must have strong prioritization, attention to detail, effective multi-tasking, verbal/written communication and organizational skills.

Proficient in using webex technology and MS Office products - Word, Excel, Outlook, PowerPoint - Extensive proficiency in PowerPoint required, both in collaboration/development of content and creation of slides
